Terms of Service

Introduction

These Terms & Conditions set out the basis upon which Derma Cosmedic provides treatments and services to its clients. By booking an appointment, purchasing a treatment, or attending the clinic, you agree to these Terms & Conditions.

Please ensure you have read and understood these Terms & Conditions prior to booking any treatment.

1. Appointments

All doctors, nurses and therapists at Derma Cosmedic are trained and approved in accordance with the company’s treatment protocols. Therefore, Derma Cosmedic cannot guarantee continued treatment with a specific practitioner.

Prior to your appointment, we will advise you of any preparation required for your treatment. Failure to follow this guidance may result in cancellation of your appointment, reduced treatment time, or additional charges.

For certain treatments, we ask that clients arrive prepared:

Facial treatments: all make-up must be removed prior to treatment.
Laser hair removal treatments: the treatment area must be shaved approximately 24 hours prior to treatment and be free from hair. Hair must not be waxed or plucked before treatment.
Derma Cosmedic will endeavour to ensure appointments run on time. However, should we need to cancel an appointment at short notice, every effort will be made to contact you in advance and arrange a suitable alternative appointment.

Late arrival may result in reduced treatment time or forfeiture of the appointment.

2. Deposits

To secure an appointment, a £40 deposit is required at the time of booking. Your debit or credit card will be charged when the booking is made.

The deposit will be redeemed against the cost of your treatment when you attend your appointment.

Non-Refundable Deposits

All deposits paid for treatments, whether booked online, by telephone, or in clinic, are non-refundable except where required by applicable law.

This applies if you choose not to proceed with treatment, as consultation time, clinic resources and professional expertise have been allocated to your appointment.

Where a genuine medical circumstance prevents treatment from proceeding, Derma Cosmedic may, at its sole discretion, consider a refund, transfer, or credit of the deposit. Supporting medical evidence, including a GP letter where appropriate, may be required.

Nothing in these Terms & Conditions affects your statutory consumer rights.

3. Cancellation & Non-Attendance Policy

Our cancellation policy is designed to ensure appointment availability for all clients.

If you need to cancel or reschedule your appointment, we require a minimum of 24 hours’ notice.

Single Treatments

Cancellations or rescheduling requests made less than 24 hours before the appointment will result in the loss of your deposit.
Failure to attend an appointment without notice will result in the loss of your deposit.

Courses and Treatment Packages

No additional deposit is required when booking appointments from a prepaid course or package.
Cancellations or rescheduling requests made less than 24 hours before the appointment will result in the treatment session being deducted from the course.
Failure to attend an appointment without notice will result in the session being deducted from the course.
Missed appointments cannot be rebooked, transferred, reinstated, or credited.

4. Pricing & Payments

Pricing

Consultation and treatment prices may vary and may be subject to promotional offers. Current pricing is available on our website or in clinic.

Treatment Quotations

Where a written quotation has been provided and is not linked to a promotional offer, the quoted price will be honoured for up to six weeks from the date of issue.

Payment

All treatments purchased as a course or package must be paid in full prior to the first treatment unless otherwise agreed.
Card and contactless payments are preferred.

Ownership of prepaid treatments remains with the named client and may not be transferred without written approval from Derma Cosmedic.

5. Courses & Treatment Packages

Package Expiry

All treatments purchased as part of a course or package must be used within 12 months of the purchase date.

Any unused treatments remaining after 12 months will automatically expire and cannot be refunded, transferred, or extended unless otherwise agreed in writing.

Cooling-Off Period

Where a treatment package or course is purchased online, by telephone, or otherwise away from Derma Cosmedic’s clinic premises, clients may have a statutory right to cancel within 14 days of purchase under the Consumer Contracts Regulations 2013.

This cooling-off period does not generally apply to packages or courses purchased in person at the clinic.

During the cooling-off period, you may cancel and receive a refund provided:

No treatment sessions have been undertaken; and
You have not requested treatment to begin during the cooling-off period.
If you request that treatment begins during the 14-day cooling-off period, you expressly acknowledge that your right to cancel may be affected. Where treatment has been fully completed during the cooling-off period, your right to cancel will end. Where treatment has commenced but has not been completed, Derma Cosmedic may deduct a reasonable amount for services already provided before issuing any refund, in accordance with applicable consumer legislation.

Refund Policy for Courses & Packages

Courses of treatment purchased at a discounted, promotional, package or course rate are non-refundable except where required by law or where Derma Cosmedic agrees otherwise under this policy.

Refunds for courses or packages will only be considered in the following circumstances:

A genuine medical reason prevents further treatment; or
A significant issue relating to the treatment has occurred.
Where a refund is requested for medical reasons, a supporting GP letter or relevant medical evidence must be provided.

All refund requests are reviewed individually and approval remains entirely at the discretion of Derma Cosmedic.

If a refund is approved, the refund amount will be calculated by deducting:

The full standard list price of all treatments already received; and
Any charges relating to late cancellations or non-attendance.
The remaining balance, if any, will be refunded.

Non-Refundable Circumstances

Refunds will not be provided for:

Change of mind.
Personal circumstances.
Failure to attend appointments.
Failure to follow treatment preparation instructions.
Failure to follow aftercare advice.
Expired treatment packages or courses.
Dissatisfaction where treatment outcomes are within normal clinical expectations and consented risks.

Treatment Experience Concerns

If you are unhappy with your treatment experience, please notify us as soon as possible.

We will investigate the matter thoroughly and determine an appropriate resolution, which may include corrective treatment, an alternative treatment, clinic credit, or, where deemed appropriate, a refund.

6. Suitability for Treatment

We will always assess your suitability prior to treatment.

It is your responsibility to provide accurate and complete information regarding:

Medical history;
Current medications;
Allergies;
Existing medical conditions; and
Any changes in health status.

Derma Cosmedic reserves the right to refuse treatment where it is considered unsuitable or unsafe.

We do not provide treatment to:

Individuals under 18 years of age.
Clients who are pregnant.
Clients who are breastfeeding.
Failure to provide accurate medical information may result in treatment being declined, postponed, or discontinued without refund.

7. Liability

Clients are required to read and sign all relevant consent forms before treatment.

Treatment cannot proceed without valid informed consent.

Derma Cosmedic shall not be liable for any loss arising from incomplete, inaccurate, or withheld medical information provided by a client.

Clients agree to follow all treatment preparation instructions and aftercare recommendations provided by Derma Cosmedic.

To the fullest extent permitted by law, Derma Cosmedic shall not be liable for indirect, consequential, or economic losses arising from the provision of treatments or services.

Nothing in these Terms & Conditions excludes or limits liability for death or personal injury caused by negligence, fraud, or any other liability which cannot be excluded by law.

8. Complaints Procedure

Derma Cosmedic is committed to treating all clients fairly, respectfully and professionally.

If you are dissatisfied with any aspect of your treatment or service, you may make a complaint in person, by telephone, email, or in writing.

The member of staff receiving the complaint will pass the details to the Clinic Manager or an appointed representative.

Where a complaint cannot be resolved immediately, written acknowledgement will be provided within three working days confirming that an investigation is underway.

Non-Clinical Complaints

Complaints relating to customer service or administration will be investigated by the Clinic Manager and management team.

Clinical Complaints

Complaints relating to treatment outcomes or clinical matters may require:

A review by the treating practitioner;
An additional consultation;
Review by another qualified practitioner; or
Review by the Medical Director where appropriate.
Our aim is to provide a full written response within 20 working days. Where this is not possible, we will provide an explanation for any delay.

If you remain dissatisfied following the initial investigation, the matter may be escalated to senior management for further review. A final written response will normally be issued within 20 working days of escalation.

9. Privacy & Data Protection

Derma Cosmedic is committed to protecting your privacy and handling your personal information responsibly and in accordance with applicable data protection laws, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Collection of Personal Information

In order to provide consultations, treatments and related services, we may collect and process personal information including:

Name, address, telephone number and email address.
Date of birth and identification details where required.
Medical history, health information and treatment records.
Appointment and payment information.
Any other information necessary to assess suitability for treatment and provide safe clinical care.

Use of Personal Information

Your information may be used for:

Providing consultations, treatments and aftercare.
Maintaining accurate medical records.
Managing appointments and payments.
Communicating with you regarding your treatment.
Complying with legal, regulatory and insurance obligations.
Improving our services and client experience.

Confidentiality

All client information and treatment records are treated as confidential and will only be disclosed where:

You have provided consent.
Disclosure is required by law.
Disclosure is necessary to protect your safety or vital interests.
Disclosure is required for legitimate clinical, regulatory or insurance purposes.

Marketing Communications

With your consent, Derma Cosmedic may contact you regarding promotions, offers, products and services that may be of interest to you.

You may withdraw your consent or unsubscribe from marketing communications at any time.

Data Storage & Security

We take appropriate technical and organisational measures to safeguard your personal information against unauthorised access, loss, misuse or disclosure.

Your personal information will only be retained for as long as necessary to fulfil the purposes for which it was collected or as required by law.

Your Rights

Subject to applicable law, you have the right to:

Request access to your personal information.
Request correction of inaccurate information.
Request erasure of personal information where appropriate.
Restrict or object to certain processing activities.
Request transfer of your personal information.
Withdraw consent where processing is based on consent.

Requests relating to your personal information should be submitted in writing to Derma Cosmedic.

By booking an appointment, paying a deposit, purchasing a treatment, commencing a course of treatment, or otherwise using Derma Cosmedic’s services, you confirm that you have read, understood and agree to these Terms & Conditions and acknowledge our Privacy Policy.
